Internal Application

American Mutual Insurance Agency

Agency Hub

Agency Hub is the internal application built and operated by American Mutual Insurance Agency LLC, a licensed independent insurance agency in the United States. Our licensed agents use it to manage client records, quotes, policies and day-to-day agency correspondence in one place.

Agency Hub is a private, staff-only tool. It is not a consumer product, and there is no public sign-up. This page describes what the application does and how it uses Google account data.

What the application does

  • Client and policy records - contact details, household information, coverage and renewal dates for the people our agents serve.
  • Quoting and enrollment - tracks a request from first contact through to submitted application.
  • Agency email - lets an agent read and reply to their own work mail inside the application, so client correspondence stays attached to the client's record instead of living in a separate inbox.
  • Documents and signatures - sends, tracks and stores the forms a client needs to sign.
  • Reminders - renewal dates, Medicare Annual Enrollment Period, and outstanding tasks.
  • Reviews - shows the agency's Google Business Profile reviews and lets an agent reply to one.

Who uses it

Licensed agents and staff of American Mutual Insurance Agency LLC. Access is granted by the agency and requires an individual account. Clients and members of the public do not have accounts.

Why it connects to Google

An agent may choose to connect their own Google account so that the mail they already send and receive as part of their work appears inside Agency Hub, beside the client it belongs to. Connecting is optional, started by the agent, and can be undone at any time.

When an agent connects an account, Agency Hub asks for:

  • Your primary Google Account email address and basic profile - to identify which mailbox has been connected and show it to the agent.
  • Read, compose and send email (gmail.modify) - to display the agent's messages in the application, file a message against the right client record, and carry the agent's read/unread, label and archive actions back to Gmail.
  • Send email on your behalf (gmail.send) - so a reply written in Agency Hub goes out from the agent's own address and is saved in their own Sent folder.
  • See and edit your email labels (gmail.labels) - to show the agent's existing labels and file mail under them.
  • Manage your Google Business listings (business.manage) - to display the agency's Google reviews in the application and let an agent reply.

Agency Hub asks for nothing beyond these. It never reads mail belonging to anyone who has not connected their own account.

How the data is handled

Message content is retrieved to show it to the agent who owns that mailbox and to attach correspondence to the right client record. It is stored in the agency's own database, encrypted in transit, and reachable only by that agent and the agency administrator.

It is never sold. It is never shared with advertisers or used to build advertising profiles. It is never used to train or improve artificial-intelligence or machine-learning models. When an agent disconnects a Google account, the stored messages and access tokens for that account are deleted.

Agency Hub's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
